Today I come as the bearer of bad news. I am here to remind you to do something that your copier rep in Colorado Springs never seems to want to remind you about.  You have a lease?  If you do, pay attention!  There is always lingo buried in that lovely fineprint which talks about things like”auto-renewals” and such.  There are provisions like “This contract will auto renew on a quarterly basis if we do not receive written communciation from you that you intend to cancel the contract at the end of the lease term.” Practically, what does this mean for you and I?

Here it is in a nutshell.  If you forget to send a letter over three months before the contract ends, you get to pay the current rate (no break) for at least 3 more months…  and what if you wait a few months before sending that letter?  The 90 day provision still applies.  If you are sloppy, you could end up paying for 6 extra months on a copier contract.  The timeframe to write in is called the bus.  When you miss the bus, you pay for it!

There are a lot of things that go into making your copier budget work…especially in this economy.   It takes discipline, analysis, and occasionally some tough decisions.   It’s difficult for me to watch businesses and non-profits let people go while at the same time throwing away money through ignorant copier (and color copier) management.

For instance, earlier this summer I worked up a copier and color printer quote for a real estate office using their current monthly printing volumes.   They had three offices, quite a few employees, and moderate (for their size) print volumes.   It took me about three hours to work up the comparison quote on a spreadsheet (mostly because I kept thinking there must be a mathematical error!).   The office manager let me know she was expecting a VERY competitive quote because cost was their most important factor….”makes sense” I thought, so, like normal, I gave her a detailed quote for $73,000 LESS (over 36 months) than their current plan!!

She saw the number, looked at the machines, and told me it just wouldn’t work…given their print volume I needed to have bigger copiers.   I asked her if the print volumes on the quote were correct, “yes, but we do a lot of printing.”   WHAT THE HECK??   I know how much printing you do–it’s what I selected your copiers based on!

What had happened, is they had been MASSIVELY oversold on their last lease, and she was expecting to get the same sort of quote.   When I offered to save them money, she didn’t believe it could be that much, and is probably going to stay with the same company that is screwing them out of a lot of cash!

Are you looking for a fast copier and don’t want to break the bank?  Maybe the Lexmark X652de would be a good fit for you!  First of all, it is fast, running at 45 pages per minute…  this mfp is not your typical desktop model.  It is also robust.  We actually have customers who print/copy more than 10,000 pages a month on this device without mechanical headaches.

You can scan, scan to email, print, copy and fax all with this simple device.  Here are some Pros and Cons on the Lexmark X652de.

PROS –

  • Fast
  • Inexpensive  (Starting @ $1,799)
  • Great warranty

CONS –

  • Only scans simplex (one side) — duplex scanning comes in the Lexmark X464de or the Lexmark X654de
  • The cost per print is higher than the X654de, so if you do a lot of printing, you should step up a bit.

Overall, this device would work awesome for most small offices and is definately worth taking a quick look at!

Locking in your prices is almost always a good thing when it comes to copiers in Colorado Springs.   Copiers here, like everywhere, have been producing more and more value in terms of the copier quality and function.   However, consumables (toner, maintenance kits, etc.) are a predictably rising cost.   If you haven’t noticed in your copier lease agreement, most of them include a clause that allows for 5%-15% (generally) rise in your copier price each year.

Copiers are not green.   They’re made of plastic, use petroleum based toner, and print on cut-down trees.   If someone says they have a green copier, they really mean “green in comparison.”   So, if you’re looking for ways to make your copier, color copier, or MFP in Colorado Springs greener, here are a few tips that will also save you money:

1. Duplex when possible.   This uses less paper, and saves you money.
